Welcome to the M&G Health and Safety induction video. In this video we’re going to outline your role in keeping yourself and others safe and secure, how to spot and report potential hazards and first aid arrangements. More detailed information on our approach to health and safety is set out in our Health and Safety Management system, which is available to M&G colleagues via the intranet. We have a range of measures in place to protect the physical security of our people, guests and information on site. These include security officers, access control systems and CCTV. However, overall site security is substantially improved when people are vigilant. This is especially important in larger offices or where we share a building with other businesses and you are less likely to know everyone. Regardless of where you are based, should you notice anything that seems out of the ordinary or someone appears to be acting suspiciously, inform security immediately. You can do this in person or by calling our emergency number. Anyone coming into our offices will be issued with a security ID pass, which must be visible at all times. M&G colleagues, and those working in long term contracts will be issued with a photo ID pass, clients, visitors and contractors will be issued with a temporary access pass when they sign in at reception. Temporary passes need to be returned to reception when leaving the building at the end of each day ID passes must be visibly displayed at all times whilst working within the building and taken off and stored safely when you leave the office. M&G lanyards should be worn by all colleagues and are available from reception. You must never let someone else use your pass whether they are a member of staff or not. If you lose your pass or believe it may have been stolen, you must report it to the onsite security team immediately. Tailgating is when someone follows you through an access control door without having a valid pass. This may be without your knowledge or you may actively hold the door for them out of courtesy. Everyone on site has a role to play in keeping the site secure and must be vigilant of tailgating at all times. Should you suspect someone of tailgating or being on site without valid credentials, either ask them to tap the person, a card reader or immediately contact on site security with a description of the person. In order to test security awareness across building users, we periodically run tests each site in which a third party is allowed into the building and then attempts to navigate throughout the internal access controlled areas without valid credentials. In these tests, the third party will always have a validation letter which should be checked with a member of onsite security team when they are identified. These tests can also highlight where potentially confidential information is left in plain view. Keeping our data and personal effects safe is crucial, and we operate a strictly clear desk policy in all of our buildings. All workstations must be kept clear of client confidential information at all times. All personal and business related items must be cleared away at the end of the day. Any items left at the end of the day will be removed and held by security and any items unclaimed after three weeks will be disposed of. We all have a responsibility to try to prevent accidents before they happen. In the event that you or a colleague feel unwell or sustain an injury at work, contact security for first aid assistance. If there is a fire, your actions can ensure you and your colleagues safety as well as allowing the fire to be swiftly contained. To raise the alarm, follow the green emergency exit signs to the nearest fire exit and then press the red fire alarm call point. At 10FA we evacuate the building in phases. We do this because it is a large building and we don't want to overload the emergency exit stairwells. If the alarm is activated, you will hear an announcement over the public address system telling you what to do. Attention, please. We are investigating an alarm in another part of the building. Please listen for further announcements. There are two messages an alert message and a message to evacuate. The alert message tells you an incident is being investigated and that you should listen for further announcements. The alert message will repeat at three minute intervals, and during this time, you can continue working as normal. The second message, the evacuation message will tell you when you need to leave the building. Attention, please. Attention, please. A fire has been reported in the building. Please leave the building immediately by the nearest exit. Do not use the lifts. Because of the open plan nature of 10FA, you may hear messaging from other floors. You must only evacuate the building when the evacuation message sounds on your floor and not before. There are fire marshals located on each floor to assist you. Listen to their instructions and when it is time to evacuate, do not use the left or internal open staircases. You must use the nearest available marked fire exit on the floor that you are on. Don't return to your desk or locker to pick up possessions and don’t try to tackle any fire yourself. Head down to the ground floor. The emergency exit points from the building are located in Hogarth Court. Once outside, you should disperse by walking for five minutes in any safe direction. This is really important, both for your own safety and to reduce congestion in the area to allow emergency services faster access to the building. You will receive a text message via the Everbridge mass notification system when it is safe to re-enter the building. Re-occupy as quickly and as safely as we can. However, this can take several minutes due to the number of people 10FA holds. Please be patient as the building is reoccupied. Colleagues who are unable to evacuate the building unassisted are to notify the line manager who is responsible for informing HR and the Health and Safety mailbox so that a personal emergency evacuation plan can be developed. If you have a guest with any individual requirements that will make the visit to the office more comfortable. Let the business support centre know so they can provide the right assistance if required, especially if your guest is unable to use the stairs during a fire evacuation. In this video we've looked at, everyone must have a visible access pass at all times. The vigil for anyone attempting to tailgate through access control points and question them or inform security immediately. If you notice anything or anyone acting suspiciously, contact security immediately. If you hear the alarm, evacuate immediately via the nearest safe route. Do not return to your desk or locker to collect items. Do not use the lift and do not attempt to extinguish any fire yourself. To raise the alarm push a red call point located by the emergency exits. While the office environment is generally low risk, avoidable accidents and near-misses still occur. Be aware and report anything you see with the potential to cause harm. If you or a colleague require first aid assistance contact security immediately. By following these simple measures, everyone will contribute towards a safer and more secure workplace.
